This recipe is guaranteed to give any facilities manager heartburn and indigestion. How would you spell relief? Problem Areas At Daytona Beach Community College we spell relief c-o-m-p-u-t-e-r-i-z-a-t-i-o-n. We developed a very simple-to-use facilities system to run on our Unisys A10H mainframe. This was the best choice because the new system needed to work in conjunction with our existing student registration system, and be available to everyone linked into the mainframe. As with any new computer system being designed, we looked at all phases of our operation that could be enhanced by a new building and room utilization system. Below are details of the problem areas that desperately needed relief. * Facilities Planning Until 1989, the state of Florida kept our facilities inventory information; each year they would send us a report. We, in turn, would send update sheets of any changes occurring during the year. This meant that they updated the records and then sent us another report. Now, however, the state requires us to keep our own inventory and send them the information on magnetic tape each year. Initially, we had no real data to work with and the state's report did not allow for any breakdowns of information for future planning. We needed usage information to plan ahead. Class Scheduling In the past, Daytona Beach Community College utilized a massive matrix report to keep track of the rooms available for scheduling classes. Since this report was so large (approximately 1,800 pages) it wasn't easy to keep track of the scheduling for all of the activities on our five campuses. One had to look in the report for a vacant room to schedule a class in, mark the spot and then update the computer for that class. Often the report had to be printed again just to keep it neat. Then there was a second report-room conflicts (approximately 1,400 pages). The reason this report was so large was because there are conflicts. For example, a vocational-credit and a college-credit class may be the same course in the same room at the same time. Another typical conflict is typing courses, where a beginning and an intermediate class meet in the same room at the same time. While allowing for allowable conflicts, real conflicts had to be weeded out and corrected. Even with this elaborate system there were many problems. We worked basically from the class records, therefore only rooms that were scheduled were in the inventory. And sometimes a room was forgotten. We also had to keep track of unowned rooms-rooms which we were allowed to schedule classes in but weren't a part of our five campuses, like rooms in high schools. Also, the matrix report was based on a typical week of seven days-what about one-day classes? * Events Here the problem was the number of different schedule books. There was a book for scheduling the conference center, another to schedule the boardroom, and so on; each area had it's own book for the spaces under its control. This was cumbersome but it seemed to work. * Security If a class or event is not held during the normal five-day-week schedule, the security office must be notified to ensure that guards open the room on time. Doors are always locked outside of the normal week. Also, guards must lock these rooms again when the event is over. * Information Center I'm supposed to take the College Level Academic Skills Test (CLAST) but I forgot where they told me to be; I think it was today. …" @default.
